By booking with The Military Museums Foundation, you and your entire party agree to all of the following terms and conditions. The Military Museums Foundation reserves the right to cancel bookings and/or ask guests to leave the premises for failing to follow the entirety of the terms and conditions listed.

Conduct

If your booking time is during open hours, be aware museums will be open to the public during your visit.

All patrons are required to abide by the following rules while on the ground of the museums:

  • During tours patrons are expected to stay with the group, use indoor voices, and refrain from interrupting. 
  • The use of inappropriate language, hand gestures, or symbols will not be tolerated. 
  • The museums does not allow items that promote, support or glorify hatred towards people based upon race, ethnicity, national origin, religion, gender, gender identity, disability, or sexual orientation, nor does it permit items or content that promote organizations or people with such views. Items or displays that contain racial slurs or derogatory language are strictly prohibited. 
  • All patrons are expected to wear appropriate attire. This includes shirts and shoes. Any patron found wearing attire that includes inappropriate language, symbols, or imagery may be asked to cover the offending material. 
  • Interpreters will not give their opinion on current military or political situations. While interpreters strive to answer all questions, any question regarding military or political opinion will not be answered.
  • Harassment of interpreters will not be tolerated. 
  • All minors must stay with a minimum of one adult for the duration of the trip.
  • All artefacts are not to be touched unless specifically indicated as a "touch safe" item. Please ask your interpreters during your booking to show your group what items are safe to touch.
  • During specific after hours events, alcohol may be present within The Military Museums. The consumption of alcohol during school, scout, cadet, or summer camp programs run by The Military Museums Foundation is strictly prohibited. Any patrons who appear to be under the influence may be asked to leave.
  • The consumption of drugs on the premises of The Military Museums is strictly prohibited.  
  • The contents of The Military Museums and The Military Museums Foundation's programming may deal with difficult subject matter. We ask that all patrons respect the perspectives and stories of those featured during programing. Should there be any specific subject matter, noises, or visuals that the group would like to avoid, please email [email protected] to let your interpreters know ahead of your booking.

The Military Museums Foundation reserves the right to ask guests to leave the premises for failing to follow the entirety of the rules listed here as well as rules given to the group by interpreters during your booking.


 

Payment

All people (youth or adults, including veterans and members of the CAF) who participate and tour with the booked group will be charged through The Military Museums Foundation, not The Military Museums. If paying in person, please talk to your interpreters about payment, not the front desk staff.

We encourage all groups to pay for their programming via an invoice to make for a contactless experience, and to reduce paper waste. Invoicing will occur after the program has been completed to ensure that groups are charged accurately. 

If you would like to pay via cash, cheque, or debit/credit at the time of your visit, please let us know in advance of your visit.

Once you have received your invoice, we are able to accept e-transfers to [email protected]. Please leave a note on your e-transfer stating your group/school name, as well as the date of your booking. 

All cheques should be made payable to “The Military Museums Foundation.” 


 

Cancellation/Rescheduling

Please reply to the confirmation email upon receipt of email. If we do not receive a response from you within 7 business days, we will be unable to hold your place in the calendar.

Requests to change, reschedule, or cancel bookings must be sent via email 7 days in advance of your booking date to [email protected]. Any changes made to bookings after this date are subject to a $75 administration fee.

Cancellations (within 7 days of the booking date) or No Shows will be charged for the full booking amount.

Please note in the case of low attendance, groups that book for 25 or more will be charged a minimum of 80% of the original booking number.

All bookings require a minimum of 10 participants. Bookings with less than 10 participants will still be charged for the 10.

Groups booking for 60+ people must pay a deposit of 80% of their total booking 2 weeks prior to their booking date.

*All deposits are non-refundable.

*Summer camp costs are non-refundable once paid.


 

Multiple Itinerary Changes

Please note that multiple itinerary changes may result in a $75 administration fee. If incurred, this fee will be added to your total booking amount. 


 

Parking

Parking at The Military Museums is free. For large groups with patrons who plan to drive themselves (50 vehicles +), please consider carpooling as the parking spaces are limited. 

Busses are welcome to drop off patrons at the front of the entryway. Should your bus be staying, please park at the back of the parking lot near the military vehicles. 


 

Arrival

The day of your visit your interpreters will meet you in the atrium just inside the front doors, where you will then be taken to drop off your belongings in our Cloak Room. Afterwards we will meet as a group on the stairs in front of our Mural of Honour and discuss rules for the day before beginning our programming.


 

Lunchtime, Food and Drinks in the Museums

There is no cafeteria within The Military Museums. Should your trip include a snack or lunch break, please have your party bring their own food. There are no microwaves or refrigerators accessible to patrons.

There are 2 vending machines on site containing small snacks and drinks. There are also 2 water fountains with a space to fill water bottles. These machines are not the property of the Military Museums Foundation; as such we cannot guarantee their contents or working order. 

There is to be no eating or drinking in any of the museum spaces or Cloak Room at any time. Participants will have designated snack/lunch areas assigned to them. For groups containing youth, snack and lunch periods must be supervised by teachers, parents, or other adults within the party.

In order to stay safe and on task, youth who finish their lunches early may not explore the museums on their own. Museum staff will collect the entire group at the end of the break for the next scheduled period.

Should the weather be agreeable, groups are welcome to eat lunch on the steps outside the front entryway. Please let your interpreters know your location before exiting the museum.


 

Time to Explore

For groups with no youth, your group is welcome to split up and explore any of the open museum spaces. Your interpreter will tell you when and where to meet once this program has concluded.

For groups with youth, it is mandatory that an adult is always supervising during this program.

Typically groups with youth are run one of two ways: the full group stays together led by either the main group leader or a museum interpreter, or the group is broken up into smaller groups with each group led by a teacher, parent, or other adult. The Military Museums Foundation reserves the right to require a group to stay all together during Time to Explore, should an interpreter deem it necessary. 

If you do not pick Time to Explore as an activity, there will not be additional time during programming to see the museum spaces. Please email [email protected] if you would like to add Time to Explore to your booking.

During Time to Explore and all other programming, all patrons are require to abide by the terms and conditions of The Military Museums Foundation. Failure to do so may result in participants being asked to sit out of programing or leave the museums altogether.


 

Photography

Photography is permitted in majority of spaces within museums. We ask that patrons refrain from using flash, as it damages the artefacts over time.

The Princess Patricia’s Canadian Light Infantry Museum contains Victoria Cross Medals that cannot be photographed. The current collections of Victoria Cross Medals have been loaned to The Military Museums by the recipients families, meaning The Military Museums and it's patrons do not have the legal right to take photographs of them. 

The Founders' Gallery rotates the collection on display regularly, as such, it may contain items that The Military Museums has been loaned. Please ask your interpreters if photos are allowed within The Founders' Gallery during the time of your booking.


 

Accessibility

Gift Shop

All minors must be accompanied by an adult while visiting the gift shop. Should the group wish to explore the gift shop, we recommend doing so during Time to Explore or after programming has ended. Please refrain from entering the gift shop outside of designated times. 

Please be aware the gift shop contains cameras that are constantly filming.


 

Theft

Patrons belongings are placed in our Cloak Room. This space is open to the public and does not have video surveillance, as such, we encourage patrons to not bring valuables into the museums. 

In the event of theft, we are not responsible for the personal possessions of our patrons. 


 

Questions/Concerns
